Customer Service/ Admin Manager

We are seeking a motivated and organized individual to join our team as a Customer Service/Administrative Assistant. In this role, you will play a critical role in providing excellent customer service and supporting various administrative tasks to ensure smooth operations.

Responsibilities

  • Serve as the primary point of contact for customer inquiries, requests, and concerns via phone, email, and in-person interactions.

  • Respond promptly and professionally to customer queries, resolving issues to the customer’s satisfaction and escalating complex issues as needed.

  • Process customer orders, returns, exchanges, and refunds accurately and efficiently, maintaining a high level of accuracy and attention to detail.

  • Coordinate with internal departments, including sales, logistics, and finance, to address customer needs and ensure timely order fulfillment and delivery.

  • Build and maintain positive relationships with customers, fostering loyalty and repeat business through proactive communication and personalized service.

  • Perform general administrative tasks, including data entry, filing, and document management, to support the customer services team and maintain accurate records.

  • Assist with order processing, invoicing, and billing activities, ensuring accuracy and compliance with company policies and procedures.

  • Generate reports and analyze data to identify trends, patterns, and areas for improvement in customer service operations.

  • Coordinate logistics for meetings, events, and customer visits, including scheduling appointments, arranging travel, and preparing meeting materials.

  • Assist with other ad-hoc administrative projects and tasks as assigned by management to support departmental goals and objectives.

Requirements

  • Bachelor’s degree in any related field.

  • Previous experience in customer service, administrative support, or related field is desirable.

  • Strong communication and interpersonal skills, with the ability to interact effectively with customers and colleagues.

  • Excellent organizational and multitasking abilities, with keen attention to detail and the ability to prioritize tasks effectively.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.

  • Positive attitude, team player mentality, and willingness to learn and adapt in a dynamic environment.

  • Customer-focused mindset, with a commitment to delivering exceptional service and building long-term relationships.
