Automated Employee Reimbursements for Treten Networks

Getting reimbursed for a legitimate business expense should be simple for employees, while finance still needs every claim reviewed, approved, paid, and recorded correctly. Treten Networks wanted to improve both sides of that experience. The Candid Solutions configured Zoho Expense for claims, policy checks, and approvals, connected it to Zoho Books for accounting, and built a custom middleware integration with Paystack Payouts so approved reimbursements could be paid through a controlled process.

The Challenges

Treten’s expense process crossed employees, line managers, department heads, and finance. Claims moved from receipt upload to policy checks to a final bank transfer, and relying on paperwork and manual follow-ups made each step harder to track.

Getting an expense approved was only half the job. A claim could be approved and still need manual work before the employee was paid.

  • Claims and receipts were not managed through one consistent digital process
  • Approvals needed to follow reporting lines without repeated reminders
  • Spending limits and receipt rules had to be applied consistently
  • Approval and bank-transfer activity sat in separate systems which made payment status hard to track
  • Approved expenses needed to reach accounting without duplicate entry
  • Failed transfers and duplicate payment attempts and sensitive bank details called for stronger safeguards

The Solution

One connected process, from submission to reimbursement, built around Treten's existing approval responsibilities. Employees submit expenses and receipts in Zoho Expense, with policy checks and spending limits applied up front. Requests then move from line manager to department head to finance, with notifications and a visible approval history.

Approved expenses flow into Zoho Books with categories mapped to ledger accounts, and custom middleware pays eligible claims through Paystack using verified recipient details. Webhooks sync payment status back to each claim, backed by transaction logs and duplicate-payment checks. Finance and HR teams and employees were trained and supported through go-live.

The Results

Treten Networks now has a more connected process for employee expense management, with clear responsibility from the moment a claim is submitted until the payment is tracked. Employees can follow their claims, managers know what needs approval, and finance can see what is ready to pay, what has been processed, and what needs attention.

  • Simpler and fully digital claim submission with receipts attached
  • Approvals that follow the agreed reporting structure with visible status
  • Less manual payment work as approved claims are paid through Paystack
  • Clear visibility into payments that are processing or completed or need attention
  • Consistent accounting records in Zoho Books
  • A repeatable process that scales with more claims
