Finance & Expense Control for Tetracore Energy

Tetracore Energy Limited is an integrated energy solutions provider with a growing portfolio across natural gas and power delivery in Nigeria. As the business expanded, it needed one finance system that could handle multiple entities, departmental requests, expense approvals, and audit control. The Candid Solutions implemented Zoho Books and Zoho Expense, configured around Tetracore’s real operating structure and reporting lines.

Tetracore operates five business units across several departments, with more than 70 people involved in raising bills and expense requests. Finance had to keep each entity’s records separate while giving the wider team a controlled way to participate. Approvals depended heavily on manual follow-ups.

The Challenges

Speed, accuracy, and control were pulling against each other. Approvals were chased informally, and there was little protection for reviewed financial periods.

  • Managing several entities and locations under one finance structure
  • Giving each entity its own numbering series and branded documents
  • Routing bill and expense approvals through the right reporting lines
  • Tracking reimbursements for staff who used personal funds
  • Preventing edits to transactions during audit and period close

The Solution

We configured Zoho around how Tetracore actually works, not a generic setup. Five business operations were set up as separate locations in Zoho Books, each with its own transaction numbering and logo. More than 70 users were added with department and reporting-line fields, so bill requests and expense claims route automatically to the right manager.

Approved expenses in Zoho Expense move directly into Zoho Books, creating one connected workflow from request to accounting record. Transaction locking restricts edits to closed or audited periods, while manual journal entries remain available for finance users. Users were trained, then supported through go-live and stabilization.

The Results

Tetracore now runs its finance and expense processes through one controlled system that reflects how the business is structured. Each entity keeps its own records and branding, requests follow clear approval paths, and finance has stronger protection over reviewed periods.

  • 5 business entities managed in one Zoho Books environment
  • 70+ users raising requests within a controlled approval framework
  • Less manual approval chasing through predefined approval paths
  • Closed periods protected from unauthorized or backdated edits
  • Clearer audit trails and a setup that scales with new users and locations
